YOUR TASKS

  • You welcome, host and help customers, guests, brand partners, suppliers and stakeholders in the daily business at our Centre Information on-site, by phone and email

  • You develop and execute information standards in close collaboration with the Office Manager

  • You support all tourism marketing initiatives with hotels, travel and coach operators, public transportation partners, as well as with the local tourist office

  • You support the Retail Manager by his work with brand partners of the centre regarding product offers and shop promotions

  • You support the centre marketing regarding promotions and events

  • You support the centre management team in administrative works

YOUR PROFILE

  • You have first experience in tourism market at a operator, hotel, leisure facilities, airline or similiar company

  • You have a high affinity for retail of fashion & lifestyle brands

  • You have a strong commitment to customer service

  • You have very good MS-Office knowledge (Word, Excel, Outlook und PowerPoint)

  • You have excellent time management skills and ability to multi-task and prioritise work

  • You have an attention to detail and problem solving skills

  • You have strong organisational and planning skills in a fast-paced environment

  • You have strong written and verbal communication skills in Spanish and English; further language skills would be an advantage

  • You collaborate within the centre management team, with brand partners and further stake holder

  • You lead agencies, suppliers and a marketing assistant

OFFICE MANAGER F/M

The Office Manager is responsible for providing secretarial, clerical and administrative support to the Centre, in order that services are provided in an effective and efficient manner.

Ensure timely reporting and administrative efficiency. Perform daily accounting tasks that will support the Centre Director and the Accounting Department of the Client.

MAIN DUTIES AND RESPONSABILITIES

Office Management

  • Managing and supervising the Management Suite in the Outlet Centre

  • Ensuring that the office suite is fully operational during business hours

  • Maintaining the general filing system

  • Safekeeping of all documents, reports, Leasing contracts and Ancillary tenants contracts

  • Monitor and maintain an adequate inventory of office supplies and equipment

Accounting

  • Reconcile invoices and identify discrepancies

  • Create and update expense reports

  • Process reimbursement forms

  • Prepare bank deposits

  • Enter financial transactions into internal databases

  • Check spreadsheets for accuracy

  • Maintain digital and physical financial records

  • Issue invoices to customers and external partners, as needed

  • Review and file payroll documents

  • Participate in quarterly and annual audits

Marketing support

  • Collect and administer all Customers and VIP Club data

  • Development and execution of Centre Information standards regarding tourism related promotions, events and action in close collaboration with Tourism Marketing.

Tenants Liaison

  • Maintaining all Tenants data records

  • Respond to Tenants inquiries whenever possible

  • Maintain office services support for tenants

  • Distribute all Tenant’s relevant correspondence / weekly Ranking list

  • Conserve and transmit Job seekers documentation

Employee Relations/Teamwork

  • Provide professional and technical support to all team members.

  • Provide administrative support for the Centre Director

  • Liaise with all members of the on-site management team on operational issue where necessary

PROFILE REQUIREMENTS

Experience, knowledge & qualifications required for the position

  • Office Administration

  • A clear understanding of relevant policies and procedures

  • Knowledge of basic bookkeeping procedures

  • Familiarity with finance regulations

  • Ability to work and integrate in an already established / newly formed team.

  • Fluency in English (vocal & written)

  • Good Computer skills

  • You influence brand partners and organise trainings for the shop managers and their employees as well as execute retail quality tests

  • You have successfully completed a commercial training in retail/trade

  • You have several years of professional experience in retail as area, shop, department manager in non-food retail or sales

  • You have a high affinity for retail of fashion and lifestyle brands as well as experience in visual merchandising
