Designer Outlet Zaragoza will be the new aspirational and smart shopping destination for Northern Spain, with more than 120 fashion and lifestyle brands on a gross lettable area of 18,600 sqm, built in two phases. The outlet will be part of the new innovative shopping and entertainment complex in Zaragoza, a meeting point for families and friends with more than 70,000 sqm gross lettable area. The opening of the first phase is planned for spring 2020. Designer Outlet Zaragoza is managed by ROS Retail Outlet Shopping, one of Europe’s leading operator of designer outlets and innovative shopping concepts.

OFFICE MANAGER F/M
The Office Manager is responsible for providing secretarial, clerical and administrative support to the Centre, in order that services are provided in an effective and efficient manner.
Ensure timely reporting and administrative efficiency. Perform daily accounting tasks that will support the Centre Director and the Accounting Department of the Client.
MAIN DUTIES AND RESPONSABILITIES
Managing and supervising the Management Suite in the Outlet Centre
Ensuring that the office suite is fully operational during business hours
Maintaining the general filing system
Safekeeping of all documents, reports, Leasing contracts and Ancillary tenants contracts
Monitor and maintain an adequate inventory of office supplies and equipment
Reconcile invoices and identify discrepancies
Create and update expense reports
Process reimbursement forms
Prepare bank deposits
Enter financial transactions into internal databases
Check spreadsheets for accuracy
Maintain digital and physical financial records
Issue invoices to customers and external partners, as needed
Review and file payroll documents
Participate in quarterly and annual audits
Collect and administer all Customers and VIP Club data
Development and execution of Centre Information standards regarding tourism related promotions, events and action in close collaboration with Tourism Marketing.
Maintaining all Tenants data records
Respond to Tenants inquiries whenever possible
Maintain office services support for tenants
Distribute all Tenant’s relevant correspondence / weekly Ranking list
Conserve and transmit Job seekers documentation
Provide professional and technical support to all team members.
Provide administrative support for the Centre Director
Liaise with all members of the on-site management team on operational issue where necessary
Experience, knowledge & qualifications required for the position
A clear understanding of relevant policies and procedures
Knowledge of basic bookkeeping procedures
Familiarity with finance regulations
Ability to work and integrate in an already established / newly formed team.
Fluency in English (vocal & written)
Good Computer skills
